About this role

This role is part of HRBrain RPO, a division established in January 2026. The service combines data from HRBrain recruitment-management and talent-management SaaS products with practical knowledge gained from supporting recruitment at companies in different stages. The position is responsible for creating reusable operating methods across RPO projects while working directly in project operations.

The person will review operations across multiple projects, identify inefficiencies and areas dependent on individual know-how, and organize and document routine workflows such as interview scheduling, application screening, and reporting. They will work alongside project managers to understand decision criteria and exceptional-case handling, express that knowledge clearly, and design decision-criteria sheets and escalation flows. The role also supports the design of evaluation criteria and recruitment selection processes.

After standardizing operations, the person will run PDCA cycles and make ongoing improvements. They will also help design operations when new projects are launched. Examples of current project work include standardizing the selection flow from application to offer for a large entertainment company while handling dozens of job openings and multiple stakeholders; planning, designing, and executing recruitment strategy for a venture consulting company without an internal HR or recruiting representative; and establishing and operating a direct-sourcing function for a manufacturing company and an AI startup.

Required experience includes leading the design, standardization, or improvement of business processes; managing and visualizing data with an ATS or similar workflow-management tool and spreadsheets; and independently designing or improving workflows in an environment where established methods were not yet in place. Experience in RPO, recruiting agencies, or recruitment is welcomed, as is experience recruiting for highly skilled or specialist positions. Practical experience using generative AI or work-efficiency tools for process improvement, and experience organizing work across multiple stakeholders and workspaces or tools, are also welcomed.

The RPO business division operates with project managers, two employees, and outsourced partners. The team is expanding existing projects and preparing to support new and cross-sell engagements, and this role will help build the operating foundation for that expansion.

The position is full-time and located in Minato, Tokyo. It uses a flextime system with core hours from 11:00 to 16:00, an eight-hour standard workday, and a one-hour break that may be taken freely. Annual salary is JPY 5,000,000 to 7,000,000 on an annual-salary system, with monthly pay from JPY 417,000; base pay starts at JPY 305,000 and fixed overtime pay for 45 hours starts at JPY 111,000. Overtime beyond the fixed hours, holiday work, and late-night work are paid separately. The contract has no fixed term, the probationary period is three months with unchanged conditions, and overtime work applies. Start dates are the first day of each month, with the first business day treated as the first day when applicable.

Holidays and leave include Saturdays, Sundays, and public holidays; up to 10 days of paid leave in the first year; summer and year-end/New Year holidays; condolence leave; maternity and childcare leave; and leave for caring for a sick child.
