This full-time Sales Administration Assistant position supports the JAPAN AI Sales Department as its first sales administration hire. The role helps sales representatives focus on meetings and proposals by handling administrative and operational work, while also establishing standardized processes and manuals.

Responsibilities include processing outsourcing agreements and NDAs, coordinating internal procedures, liaising with the legal department, preparing simple drafts, and organizing points requiring review. The position also coordinates responses to security-audit checklists with the internal security team, schedules client audits, and prepares for audit days.

Sales support duties include assisting with proposal materials, filing and document management, market and company research, and communication with clients and partners by meeting, telephone, and email. The assistant attends meetings, prepares minutes using the company’s AI agent, coordinates sales appointments, organizes resulting tasks, and follows up on their completion.

Customer and opportunity administration includes registering business partners and opportunities in the SFA, updating opportunity statuses, maintaining sales data, and preparing simple summary reports. Depending on experience and preferences, the role may also standardize and document sales administration, promote efficiency and automation using the company’s AI agent, and plan or improve internal sales processes.

The position is part of the 35-person JAPAN AI Sales Department. JAPAN AI was established in April 2023 as an AI startup within the Geniee group. The group develops and provides AI products and researches large language models and generative AI. The company’s AI agent is used for meeting minutes, document support, research, and other daily work.

Required qualifications are at least four years of sales administration experience, experience communicating with corporate customers by meeting, telephone, or email, basic PC skills including Google Workspace tools such as Sheets, Docs, and Slides, and the ability to prioritize and efficiently manage multiple tasks. Preferred experience includes work in IT or SaaS, sales experience, bookkeeping level 3 or above, practical contract processing, SFA or CRM use, manual creation or process improvement, team leadership or junior staff development, and business use of AI tools. The work location is in Shinjuku, Tokyo. Employees generally work in the office three to four days per week and may work from home one to two days per week. Annual salary is ¥4.5–5.5 million. Monthly pay is ¥321,429–392,857, including base pay of ¥237,820–290,668 and fixed overtime pay of ¥83,608–102,188 for 45 hours. Overtime exceeding 45 hours is paid separately. Salary review opportunities are held twice a year, and bonuses are paid twice a year. A stock option program is available.
