About this role

This full-time role manages notification mailing services for health insurance associations and other insurers. Daily work includes coordinating eligible recipients with clients by email and telephone, extracting data from internal systems, preparing submission data, arranging printing and delivery vendors, and managing progress through shipment. The team handles approximately 50 to 160 cases per month in total, with an average individual workload of 25 to 70 cases.

The notifications include communications encouraging the use of generic medicines by showing potential differences in personal costs, as well as notices encouraging early medical consultation or resumed treatment based on health-check results. The service supports health promotion and appropriate medical spending by helping insurers communicate with their members.

During quieter periods and when launching new services, the role also supports operational improvement. Responsibilities include updating existing tools with macros and Excel functions, improving workflows, and helping design operations and build processes for new services. The position is expected to identify ways to prevent errors and improve efficiency rather than only perform routine tasks.

Required qualifications include practical experience in clerical work, sales administration, or schedule and process management; the ability to handle multiple cases accurately in parallel; experience handling sensitive personal information such as customer or member data; an interest in or experience with self-directed process improvement; PC skills including touch typing, keyboard shortcuts, and Excel functions such as VLOOKUP and SUMIF; and experience handling telephone calls. Experience in team management, workflow development, macros, RPA, tool creation, and coordination with internal and external stakeholders is welcome.

The work involves sensitive medical data and health-check results, so the role requires five days of office attendance in principle. The initial workplace is the Tokyo office. Working hours use a flextime system with core hours from 11:00 to 15:00, eight standard working hours per day, and a 60-minute break. The role includes weekends and public holidays off, paid leave, social insurance, commuting support up to 150,000 yen per month, a defined-contribution pension plan, parental and nursing-care leave systems, and other stated employee benefits.
